You can process credit notes in Frameworks to handle customer overcharges or stock returns. This guide walks you through creating and processing credit notes step by step.

## What You Need to Know

Credit notes can be created for two main reasons:

- **Overcharge**: Customer receives a refund for part of the order price with no stock movements
- **Stock Return**: Customer returns stock from an order and stock movements are required

## How to Process a Credit Note

### 1. Creating a Credit Note

1. Click the **Frameworks Menu** and navigate to **Sales > Transaction Processing > Credit Notes** from the navigation tree.
2. Click **New** to open the **Credits & Refunds Maintenance** screen.

### 2. Adding Header Details

3. In the **Customer** field, start typing the customer's name or ID. A list of suggested customers will appear for you to select from. Alternatively, click the **Search** icon to open the **Customer Finder** window.

> ℹ️ **Note**: The **Customer** field defaults to **Cash Sale**.

4. From the **Type** drop-down menu, select either:
  - **Overcharge** for refunds with no stock movements
  - **Stock Return** for returned stock requiring stock movements
5. From the **Reason** drop-down menu, select the reason for the credit or refund.
6. If you have the original invoice details, enter the original docket number in the **Original Docket** field or click **Search** to open the **Transaction Finder** window.

> ℹ️ You can search for a consolidated invoice by entering one of its original invoice numbers. The system will automatically identify and display the matching consolidated invoice. > ✅ **Tip**: To find historical invoices from a previous system, use the **External Ref** field in the **Transaction Finder** window.

7. If applicable, enter the back order number in the **B/O** field.

### 3. Adding Product Details

You can add products in two ways:

**Method 1: Load from Original Docket**

8. If you entered original docket details, click **Load Details**. This adds the original transaction details to the product entry grid.

**Method 2: Manual Entry**

8. If there's no original docket, click **Add** and enter the product code and corresponding details. You can add products using the barcode, alternate code, or supplier barcode.

### 4. Processing the Credit

9. Review any **restocking fees** or apply a **discount %** if needed to reprice a stock return credit transaction.
10. Choose how to process the credit:
  - Click **Refund All** to automatically refund all quantities on all order lines
  - Manually define each product line as required

**For Overcharge Credits**

When manually processing an **Overcharge** credit:

- Enter the overcharged amount in the **Unit Credit** field
- The price cannot exceed the original transaction price
- The discount column defaults to zero and cannot be edited

**For Stock Return Credits**

When manually processing a **Stock Return** credit:

- Enter the quantity being returned in the **Credit Qty** field
- The quantity cannot exceed the original transaction quantity
- The discount column defaults to the original discount percentage and cannot be edited (unless manually added without an original docket)

> ⚠️ **Important**: Enable the **SopSpecCrd** flag to prevent credits being issued without stock returns for special products. This ensures credit returns match supplier returns and keeps stock accurate.

11. Click **Tally** to open the **Tally Maintenance** window if you need help returning tally products.

### 4. Finalising the Credit Note

12. If goods are being collected on behalf of a customer, click **Pickup Note**. This creates a pickup note printout for drivers.
  On the **Delivery Details** tab, ensure you've entered the customer's name and address or job site address in the **Deliver To** field.
13. Click **Finish** to process the credit note and open the **Tendering** **Window**.

### 5. The Tendering Window

The **Tendering window** is used to process refunds and payments. This window is divided into several sections to help you complete the transaction efficiently.

**Tendering Amounts**

- **TO REFUND**: The total amount to be refunded to the customer.
- **TOTAL GIVEN**: The total amount already entered for the refund.
- **OUTSTANDING**: The remaining amount that still needs to be refunded.
- **CHANGE DUE**: The amount of change to give the customer if the amount tendered is greater than the refund amount.

**Tendering Summary**

- **Type**: Lists the tender types (such as Cash, EFTPOS or Cheque) used in the transaction.
- **Amount**: Shows the amount tendered for each type.
- **Status**: Displays the status.

**Pay Section**

- **Tender Type**: Select the tender type from the drop-down menu.
- **Amount**: Enter the amount to be refunded for the selected tender type.
- **Refund**: Click **Refund** to process the refund.
- **Mobile Number**: Enter the customer’s mobile number if required for receipts or notifications.
- **Print Docket**: Enable this checkbox to print a receipt for the transaction.

**On Account Section**

- **Amount**: Enter the amount to be refunded to the customer’s account.
- **Refund**: Click **Refund** to process the refund to the account.
- **Credit Date**: Select or enter the date for the credit note using the **Date Picker** icon. This is used for backdating or postdating credit notes, depending on your security and configuration settings.

> ℹ️ The **Credit Date** field is only visible if you enable the **Can Post Date Invoices** checkbox in the **User Maintenance**.

> ℹ️ The Return to Account (**FWCanRefCshOnAcc in System Settings**) only works for cash customer refunds. To make the Return to Account button appear, first process a sale for a standard debtor, then refund that invoice.

**Original Payment Details**

This section displays information about the original payment, if available.

- **Till No.**: The till number used for the original payment.
- **Session**: The session ID or number.
- **Tender Type**: The original payment method.
- **Amount**: The amount originally paid.
- **User**: The user who processed the payment.
- **Info**: Additional information about the payment.
- **Date & Time**: When the original payment was made.
- **Status**: Displays the status of the payment.

**Quick Tender Options**

Use these buttons for fast entry of common tender types and denominations:

- **$5 Cash, $10 Cash, $20 Cash, $50 Cash, $100 Cash**: Quick entry for cash refunds.
- **EFTPOS**: For processing refunds via EFTPOS.
- **Gift Card**: For refunding to a gift card.
- **Cheque**: For refunding by cheque.

**Action Buttons**

- **Save/Close**: Finalises and saves the transaction.
- **Close**: Closes the window without saving.
