This document will help you to Add a create a new expense purchase order or copy a previous expense purchase order, Add a expense invoice details, Receive and Post the expense purchase order Overview This document will help you to Add a create a new expense purchase order or copy a previous expense purchase order, Add a expense invoice details, Receive and Post the expense purchase order. How to create an Expenses Purchase Order To create a new Expense Purchase Order, perform the following: Navigate to Purchasing Expenses. Click   then navigate to  Purchasing & Receipting > Transaction Processing > Purchasing Expenses  from the navigation tree. Create the expense purchase order. From the  Purchasing Expenses Dashboard  click the   button. Enter the required Purchasing Expense Header Details when prompted: Supplier No : Enter the Supplier Name or Id the expense purchase order if for. Order Branch : From the drop-down, select the branch the expense belongs to.  Date Required : Enter the date the expense purchase is required for. Description : Enter a description of the purchasing expense for reference. Allow Copy : When ticked, It allows this new expense order to be copied to future expense purchase order. Click   to create a new Purchasing Expense Order. The status of this expense purchase order will be  New. The system uses the next purchase order number defined against the company when generating the expense ID. Add the expense invoice details. Form the  Order Lines  tab, in the  Purchasing Expenses Maintenance  screen, enter the  details of the expense invoice . Enter a  Description   or reference for the expense. Enter the dollar  Value  of the expense and then using the  Tax  dropdown menu selected if the value has  No Tax,  is  Exclusive  or  Inclusive  of Tax. The  Tax amount  will automatically calculate. Enter the  GL Account  for this  expense invoice and if required the  Analysis  code and  BAS Code. These details can be added to the expense invoice line after it has been added by editing the line. Only GL accounts marked as  Configuring the Purchasing Expenses Module  will be available for selection.  Click   to add the invoice to the expense purchase order. Receive the expense purchase order.  From the  select  Receive  to updated the status to be  Received  in preparation for the expense purchase order to be posted. Refer to  Configuring the Purchasing Expenses Module  for more information about Expense Purchase Limits. Post the Expense Purchase Order When you are ready to post the purchasing expense order, from the  select  Post Expense.  This option will only be available once th expense purchase order has been received. From the  Purchasing Expense Invoice Details  window you need to enter the  Invoice No  and  Invoice Date  for the expense purchase order as well as the  Invoice Total (Tax Inc)  Click   to post the Purchasing Expense Invoice Details. If  Allow Copy  is ticked then the details of this expense purchase order will be saved to be use as the required template. How to Copy an Expenses Purchase Order To create an expense purchase order from a previously posted expense purchase order, perform the following: From the  Purchasing Expenses Dashboard  click the   button. Enter the following Purchasing Expense Header Details when prompted: Supplier No : Enter the Supplier Name or Id the purchasing expense if for. Order Branch : From the drop-down, select the branch the expense belongs to.  Date Required : Enter the date the expense purchase is required for.  Click the   button to select a previously posted purchasing expenses details from the  Repeating Purchasing Expense Find  window.  When using the copy button all the line details from the selected expense is copied into the new transaction including values and GL account from the selected purchasing expense. This is not the same as setting up a  Create a Recurring Purchasing Expense Order . In the  Search  field enter the description you are looking for and/or click  to display a list of results.  The results will have information relating to:  the  Description.  Click on the hyperlink to want to use to created the expense purchase order from which  branch  the order was for. when it was  Last Processed. the  Last value  of the order. Click   to create a new Purchasing Expense Order. The status of this expense purchase order will be  New. The system uses the next purchase order number defined against the company when generating the expense ID.
