Overview The  Stock Receipting Maintenance  screen al lows you to received stock from a supplier. How to Receipt Stock To receive stock from a supplier, perform the following: Navigate to the Stock Receipting Screen  Click the  Frameworks Menu , then navigate to  Purchase & Receipting > Transaction Processing >   Stock Receipting  from the   navigation tree. Search for the Purchase Order you would like to receipt, then click the order number.  Refer to  Searching the Stock Receipt Dashboard  for further information. Click on the  Order  hyperlink, once the results are displayed,   to process the stock receipt.   More information on Foreign Currency Transactions Foreign Currency Orders For foreign currency transactions to be receipted the shipment consignment needs to be created and the costing worksheet to be finalised. Possible errors when trying to open foreign currency transactions are: This order is not assigned to a shipping consignment The costing worksheet has not been created for shipment ###. The costing worksheet is not finalised for shipment ###. Update the Header and Invoice Information Before proceeding to the receiving stock updated the following information: Docket Number Into the  Docket Number  field, enter the docket number. If the docket number has been used previously, you will receive a prompt   to re-enter it. Receipt Date If applicable, change the  Receipt Date . This defaults to today's date. Receipt Location Enter the  Product Location  where all the stock, on the transaction, will be receipted into. Click the  Search  icon to open the  Location Finder  window. This field will be empty by default. Requires the  LOC Feature Code  and  Stock by Location,  in  Branch Maintenance , to be enabled.  Refer to  Sales Location Transfer  if you want to transfer a quantity of a product to a different receipting location. Accept Backorders Enable the  Accept Backorders  checkbox, If you are receiving a partial or incomplete delivery and you wish to backorder the missing products. The default for the  Accept Backorders  is initially loaded from the Supplier settings. If you do not wish to backorder any of the missing delivery items then leave this disabled. If a purchase order has products that have been back-ordered on the stock receipting page, the purchase order status will now change to  Partially Receipted.   Raise Return If a credit claim is required, enable the  Raise Return  checkbox to raise a credit claim against a Purchase Order. When the receipt is posted, there will be a popup with the credit claim details that contains the lines on the receipt. You can't claim more than what was receipted in total for each line. This will automatically create a new stock return purchase order that will be pre-populated with the selected lines and quantities. Print Options Select the  Print Options  for what is required to be printed at the completion of receipting goods. Enable  Receipt Labels  to print receipt labels   at completion of stock receipting. Click the  Search  icon to use the  Print Finder  to select a different printer other than the default printer. Enable   Product Labels  to print product labels at completion of stock receipting. Click the  Search  icon to use the  Print Finder  to select a different printer other than the default printer. Enable  Print Report  to print the stock receipt report (unpriced) at completion of stock receipting. Click the  Search  icon to use the  Print Finder  to select a different printer other than the default printer. Enable  Print Pack Labels  to print pack labels at the completion of stock receipting. Click the  Search  icon to use the  Print Finder  to select a different printer other than the default printer. Enable  Put Away  to print a put away docket at the completion of stock receipting. Click the  Search  icon to use the  Print Finder  to select a different printer other than the default printer. Processing a Creditor's Invoice The  FWReceiptInvCap  flag(Capture invoice details at goods inwards) determines if the Invoice details can be captured at the time of receipting. If enabled, at the time of stock receipting you are able to process a creditor's invoice at stock receipting. You can enter the Invoice Details of  Invoice Number, Invoice Date, Invoice Amount, GST/Tax amount  a nd  the  Total  amount. When  FWReceiptInvMan  is   enabled, all invoice fields are mandatory, before receipting goods. When  PurHRcptInv  (Hide option to Transpose Invoice Qty & Cost into Stock Receipting)  is  enabled the  Accept Invoice  button will be hidden from the receipting screen. If the flag is not enabled, then the  Accept Invoice  button will be displayed, and any Invoice details that have been entered via Stock Invoice Approval will be transposed to the receipting screen.  Any extra lines that were in the Supplier's invoice will also be displayed in the stock receipting screen details. The  Accept Invoice  button is to receipt as per the invoice (as opposed to  Receive All  which is to receipt as per the original order). Receiving Stock There are a number of different ways you can enter the received stock.  Refer to the  Stock Receipting Maintenance  User Manual for more information about all the available functions. Receive All Click  Receive All , if all the PO lines are fully receipted and the remaining  QTY Ordered  not already received will populate in the  Received This Delivery  Column. About receipting Tally Products: Clicking  Receive All  will not receive tally products. You are still required to enter tally details via the Tally Maintenance screen.  Select the tally products line. Click  Tally  to enter the additional fields required.  Refer to  Receiving Tally Products  for further information. You can also adjust the  Unit Cost . This will adjust the  Unit Cost  of the corresponding PO and allow for quicker creditors invoice approval. For tally products, the length/s are automatically populated in the tally screen based on the length/s specified in the purchase order and once receipted will update the corresponding product lengths that are displayed on the  Product Dashboard . Stock receipting a  Tally  product does not provide you with the individual tally lengths and quantities that were specified on the Purchase Order. Instead you are given the total quantity of the tally product purchased. Entering the received quantities and lengths on the tally maintenance screen calculates a total received quantity to compare with the ordered quantity.   Manually Enter Receive Quantities You can manually enter receive quantities by working through line by line; selecting the  Received This Delivery  cell and enter the quantities received. Into the  Location  field, enter the Location the product will be receipted into. If the  Receipt Location  has been defined in the header the location will be automatically populated with this location as quantities are entered into the  Received This Delivery  fields. If the  Receipt Location  has NOT been defined in the header the location will be automatically populated with the products primary location as quantities are entered into the  Received This Delivery  fields. Click the  Search  icon to open the  Location Finder  window to change the receipt location as required. Requires the  LOC Feature Code  and  Stock by Location , in  Branch Maintenance , to be enabled. In the  Received This Delivery  fields entering the quantities received line by line. For Tally products, click on the  Tally  button to enter the additional fields required. Quantities Received greater than Quantities Ordered Frameworks allows you to type a quantity that is greater than the quantity ordered as it is not unreasonable for a Supplier to send more than what was ordered. It is best to receipt the entire quantity and then process a Stock Return request for the oversupply if any of the goods are being returned. If the quantity received is greater than the quantity ordered, a warning is displayed with a message and the cell in question will be highlighted in  orange 'Entered quantity will exceed remaining ordered quantity.' If required, adjust the  Unit Cost . This will adjust the  Unit Cost  of the corresponding PO and allow for quicker creditors invoice approval. The  Product Labels  fields will automatically update to the  received this delivery  value. If required, you can adjust this amount.  Adding Additional products Click the  Add  button to add products to the stock receipt that were NOT on the original order. Be cautious of this as the product may have been supplied for another purchase order. Receipting the Goods Click  Receipt Goods  to confirm you have received the stock to post movements to the correct account (defined by the product group gains/losses account) and click  Yes - Perform Save . If you are receipting a Linked PO created from a Sales Order, a message is displayed " Goods have been receipted for sales order xxxxxxxx which is currently assigned to you " in the  Notifications  of the Home Page alerting you that goods have been receipted for the relevant Sales Order that you will need to acknowledge. This notification does not appear when receiving regular purchase orders. Rapid Entry Stock Receipting Users also have the option of entering stock via the  Rapid Entry  button. When selected, users are presented with the  PO receipting rapid entry  pop up window: By enabling the  Enter each product individually  checkbox, each product must be scanned or entered individually and on entry the  Qty  will default to  1 . The qty can then be adjusted. NOTE:  This can be enable, by defaulted, using the Miscellaneous Table Maintenance > System Settings - Flag >  PurRecptIndv. Into the  Product/Bar Code  field, scan or enter the product code. When entering a product the following occurs: If a GTIN is entered the UOM will default the UOM from the GTIN UOM. If the product is on the purchase order then the UOM entering on the purchase order line will be used. If the Product/Bar Code is NOT a GTIN and the product is NOT already on purchase order then the Stocking UOM will be used. < Tab > to the  Qty  field and enter the qty receipted. On moving to the  Qty  field the  Description  and  UOM  fields will be automatically populated based on the product code entered. Click  Save , once all the products and quantities have been entered, to update the stock receipting screen. Products will remain in the order in which they are entered. Other Relevant Information When a purchase order is completed or does not accept backorders anymore, the P/O will no longer be displayed in the  Stock Receipting  screen. When stock receipting an order that was made against an internal supplier, the GL posting will credit the internal control account, defined by the supplier, instead of the purchase clearing account, defined by the product group or company (as done for normal stock receipts). Miscellaneous Products  (Type 6) can be a positive or negative amount during stock receipting when making a value claim - this allows for last minute adjustments.  Manufactured  (Type 5) and  Miscellaneous  (Type 6) products will not calculate an average cost when receipted. If a linked purchase order has been partially receipted, the user is able to release the products to the customer for the quantities that have been receipted. Additional Information The below system settings may be used to customise the functionality of your Frameworks instance. User Maintenance Access Costs - Receipting:  Ticking this option in  Users  allows Users to access the Unit Cost field when receipting a Purchase Order. Users can change the Unit Cost in the Purchase Order Maintenance screen no matter the flag setting.
