Overview Creating a credit note from within a project will ensure that when a credit note is entered for a given order in a job, that the credit note number remains in the same number range as the job in which the credit is raise. The credit will also be displayed on the Job transactions page with the other quotes, orders and invoices. Important : Credit note entry and credit limits set via user security still apply to new credit note creations using the  New Credit  button from the Job screen. To complete these steps you will need to create a  Credit  description in the  Miscellaneous Table Maintenance > Job Tables - Job Sections . It is recommended that you create a job section specifically for credit notes within  Job Section Maintenance . Raising a Credit Note for a Job To create a credit note from within a Job on a project, perform the following: Navigate to the  Project Job  you wish to raise the  Credit Note  for. Refer to  Projects  for more information on navigating the projects screen. In the  Job Details  section, click on the  New Credit  button. The  New Credit Note  window will display: - The  Job Id - The job  Description - The  Credit Section  selector where you can enter or select the required job section for the credit note - Any invoices for the job To process the credit for the Job there are 2 options: The selected  Credit Section  cannot be the same as the job section your invoice was assigned to. It is advised that a job section be created specifically for credit notes. Job sections can be created and maintained within  Job Section Maintenance . 1. Credit Linked to a Specific Invoice Once the  Credit Section  and the  Invoice  are selected, click  Save/Close .   You will be taken to the  Credit Notes  screen.  All product details for the order will be displayed once the  Type  and  Reason  code are selected, and  Load Details  is clicked as normal. If an invoice has previously been credited, you will be prompted with a warning message. Click  Yes - Perform Save  to proceed. 2. Credit Linked to a Job and NOT to an Invoice Once the  Credit Section  is selected, click  Save/Close . You will be taken to the  Credit Notes  screen. Select the  Type  and  Reason  code as normal. Use the  Add  button to manually add the required products, qty and prices to the credit note, prior to releasing the credit note. When using this option you will be prompted with the message " No Invoice selected, do you want to proceed to create a Credit Note for the Job nnn?".  Click  Yes - Perform Save  to proceed. Process the Credit and Refund a normal. Refer to  Credit Notes  for more information on  Credits & Refunds Maintenance  or  Processing a Cash Refund . Once the credit has been  Finished  and processed, the  Job Details  will display the  Credit Note ,   the Credit  Section ,  Date  of the credit, who was  Assigned  to/perfomed the credit and the  Value  (Ex and Inc) of the credit. System Setting - Flags Flag Purpose FWJobNumber Use Prostix Job Numbering System with Projects. If ticked / activated  ,  the Job Number is based on the Job# column in  Company Maintenance  of the session company. If a transaction is then created, the Sales Order / Quote number used will be a concatenation of the Job# and the appropriate Section number. If the Section number has already been used, then the next available Job # will be used, concatenated with the Section number. If un-ticked / not activated ,  the Job Number is based on the next available number from the database. If a transaction is then created, the Sales Order / Quote number used is based on the Order # column in  Company Maintenance  of the session company.
