# Overview

The Frameworks** Advanced Grid feature** enables you to sort and filter your dashboard content based on the results returned. By default, the grid filter is not enabled on all grids, however, this can be customised by a right clicking on the dashboard grid and selecting **Turn grid filter on.**

Grid filters:

- Are not case sensitive
- Allow partial filtering by character and numeric. You can type a single numeric (For example, 4) for the results to return matching numeric with the value of 4 in it (For example 4.75)
- Where applicable, filter by from and to dates.

# Sorting Columns

Below is more information about the Sorting Columns options.

## Re-size columns

Re-size columns to improve or adjust the visibility and layout of data. To resize columns, perform the following:

1. With a list of grid data on a screen (For example. customer invoices from within the **Customer Dashboard**), using your mouse, drag the column separators to resize the columns.

## Sort columns

Sorting columns in ascending or descending order is useful when analysing data within a grid to suit your requirements. To sort columns in ascending or descending order, perform the following:

1. With a list of grid data on a screen (For example. customer invoices from within the **Customer Dashboard**), with your cursor on the column you would like to sort in ascending or descending order, right-click on the grid header then select **Sort Ascending **or** Sort Descending**.

## Add or remove columns

Adding or removing columns is useful in organising the presentation of data within a grid to suit your requirements. To add, remove or group columns of data, perform the following:

1. With a list of grid data on a screen (For example. customer invoices from within the **Customer Dashboard**), right-click on the grid header then select **Columns** to display all available columns.
2. Add or remove columns by ticking or unticking the column name.

## Group columns 

Grouping columns is useful for grouping columns of information to provide a summarised view of data, which enables you to drill further into the detail based on that grouping. To group columns of data (For example, by branch or by date), perform the following:

1. With a list of grid data on a screen (For example. customer invoices from within the **Customer Dashboard**), with your cursor on the column you would like to group, right click on the grid header then select **Group by *****<column name>***. For example, Group by Brn.
2. Expand or collapse the grouped by column/s to view the grouped data.
3. Right click on the label and select ungroup to remove grouping or save configuration.

## Freeze or unfreeze columns  

To freeze a column of data (For example, by branch or by date), perform the following:

1. With a list of grid data on a screen (For example. customer invoices from within the **Customer Dashboard**), with your cursor on the column you would like to freeze, right click on the grid header then select **Freeze *****<column name>***. For example, Freeze Brn.
2. To unfreeze columns, with your cursor on the column you would like to un-freeze, right click on the grid header then select **Unfreeze *****<column name>***. For example, Unfreeze Brn.

# Sorting Data

Below is more information about the Sorting Data options

## Filter data

1. Filtering allows a user to type data into any filtering field/column to return matches, therefore limiting the results displayed in the list of transactions.
2. Type the details into the filter box of any field to filter the results.
3. You do not have to type the entire value you are searching for. Refer to the example below using '335' to display invoice '30000335'.
4. You can also filter on multiple fields at once to further restrict the result.

  Sort the data

Sorting data is useful to present data in a more logical position in a table/grid based on your requirements. For example, to view a grid of data in descending date order to locate a transaction. To sort the data presented on the screen, perform the following: 

1. With a list of grid data on a screen (For example. customer invoices from within the **Customer Dashboard**), click on the column heading you would like to move, then with your mouse drag it to its new location.

## Advanced Sorting (via the Configure Sort option)

Advanced Sorting via the **Configure Sort** option enables you to perform additional advanced sorting to tailor the results to your business needs. 

For example, you may want to configure a sort by branch and by date (within the branch) for a list of transactions.

To perform advanced sorting of data, perform the following: 

1. With a list of grid data on a screen (For example, customer invoices from within the **Customer Dashboard**),right click on the grid header then select **Configure Sort**.
2. The following options are available:
  1. **Add Level: **Adds a column to the sort order
  2. **Delete Level: **Deletes a column from the sort order
  3. **Copy Level: **Copies a selected column from the sort order
  4. **Up & Down Arrows**: Move the sort order of the selected column up or down a level (using the up and down arrows) depending on the row selected
3. You are also able to sort columns in ascending or descending order as desired.
4. When completed, click **Apply**

# Exporting Data

Below is more information about the Exporting Data options.

## Export data to Excel

Export data from Frameworks into Microsoft Excel to perform further detailed data analysis including organising, formatting and calculating data based on formulas, adding graphs and/or pivot tables. To export data to Excel, perform the following:

1. With a list of grid data on a screen (For example, customer invoices from within the **Customer Dashboard**), right mouse click on the list of grid data (not the columns) and choose **Export to Excel**.
2. You are able to save to an Excel 97 or 2007 spreadsheet or to .csv.
3. Choose a file name and location to save the file to.

## Copy and paste data from Frameworks to another application

Copy and paste data from Frameworks into another application. For example, you many want to move data for importing into Microsoft Excel like applications to perform further detailed data analysis. To copy data from Frameworks to another application, perform the following:

1. With a list of grid data on a screen (For example, customer invoices from within the **Customer Dashboard**), right mouse click and choose **Copy Grid**. A Copy Grid box is displayed with the contents of the data to copy.
2. Press **Ctrl** and **C** to copy the data, then go to the application where you would like to paste the data (For example, Microsoft Excel) then press **Ctrl** and **V** to paste the copied data.
3. When complete, click the **Done.**

# Importing Data

Below is more information about the Importing Data options.

## Import data from Excel or another product

You can import data from Microsoft Excel or another product into some maintenance activities in Frameworks   to assist in bulk updates of data. For example, to import a new User ID list as part of [User Maintenance](https://sterlandsupport.atlassian.net/wiki/spaces/prostix/pages/31101266).

> ℹ️ This process applies to importing data from other products besides Microsoft Excel, however Microsoft Excel is specifically mentioned as it is the most common product to use.

To import data from Excel into Frameworks, perform the following:

### Loading a previously saved data import configuration

Previously saved data import configurations (see **Save As** in the above section) can be loaded via the **'Load Config'** button at the bottom of the Import Data screen. 

- Clicking on this button will open up a list of your previously saved configurations.
- Click on the required configuration to load its details (delimiter and column mappings) and then you can proceed on with your import.

1. With a list of grid data on a Frameworks maintenance screen (For example, a list of existing User ID's in [User Maintenance](https://sterlandsupport.atlassian.net/wiki/spaces/prostix/pages/31101266)) right mouse click on the list of grid data (not the columns) and choose **Import Data** then **Paste Data Into Grid**.
2. The **Import Data into User Maintenance** screen is automatically displayed. Paste the data into the **Data** box and select the configurations that best describes your data then nominate which columns to import the data into. The following link provides you with a screenshot and a description of the information to enter.

| Field | Description |
| --- | --- |
| > Macro (anchor)

**Data** | The data section is where you are to paste (or type) all the data that you want to import via this process.<br>Go to the Excel spreadsheet containing the list of data you wish to import, copy all the data that is required to be imported and then paste it into this section of the import screen. |
| **My data has headings.** | If the data pasted into the grid includes column headings, simply tick the **My Data has headings** checkbox to ensure the import process ignores the data in the first row. |
| **Delimiter** | The delimiter is the character that separates each field within your data.<br>Select **Tab**, **Comma**, **Pipe** or **Other **from the **drop** **down **selection arrow > Macro (inline-media-image)

. Selecting **Other** allows the entry of any character to be used as the delimiter.<br>> ✅ Generally **Tab** works well with Excel or if saved as CSV then **Comma** is the appropriate delimiter to use. |
| **Method** | The available **Method** options are:<br>- **Update: **Selecting **Update** tells the import utility to import the data and make changes to any existing data in the grid that it matches to.
- **Replace: **Selecting **Replace** tells the import utility to replace all the existing data within the grid with the new data being imported
- **Append: **Selecting **Append** tells the import utility to add any newly imported data to the end of the existing data in the grid.<br>> ❌ Use extreme caution when using the **Replace** option. |
| **Save As** | It is possible to save the configuration values that have been entered so that they can be used again in the case where the same import may be performed many times over.<br>If this is required, you can enter the name that the configuration is to be saved as in the Save as field.<br>Any name can be entered except for the reserved name of 'new' and the name cannot contain a '.' If these are entered, an appropriate error message will be displayed.<br>If something is entered in this field, the Save button at the bottom of the screen will be activated to enable the save.<br>Note that the configuration is saved for use by the logged in user.<br>For reusing a saved configuration, refer to the** Load Config** section. |
| **Column / Title / Type / Data Column**   
(used to nominate which columns to import the data into) | With the data to be imported from the [Advanced Grid Features#data](https://sterlandsupport.atlassian.net/wiki/spaces/CHEAT/pages/24374276) field above, ensure the **Column **containing the Frameworks field name is matched correctly to the Data Column number within the imported data.<br>Adjust the position of the columns by modifying the position numbers appropriately in the **Data Column** field.<br>In the example of user maintenance, the field containing the user name is assumed to be in column 3 of the data being imported. If in your data the user name is in column 5 then you will need to modify the position number accordingly.<br>Not all fields need to mapped to the incoming data, it is feasible to import only 4 columns of a grid that has many more columns but when assigning column numbers you **must start at column 1 and do not skip any numbers.**<br>that is, you can map fields to columns 1,2,3,4,5 and then all other fields are not mapped but you cannot map fields to columns 1,2,3,5 (skipping 4), column 4 must be assigned to a field even if the column is blank.<br>> ❌ Any field that includes (PK) in the data type column is a mandatory field and must be included and mapped to your incoming data**.**<br>> ℹ️ A handy tip is to map your column numbers and then right click on the column header to sort by number to check that you have not skipped any numbers. |
</details>

Once you have completed all the data mapping configurations in the above sections, click **Verify** to confirm the accuracy of the data. To do this, perform the following:

1. If required, expand or contract the columns in the **Formatted Data** section so that you can view your data.
2. Confirm that the column **Title** matches the column values as per your mapping. If they are not correct, make the necessary changes to your column mappings and click the **Verify** button again to refresh the mappings.
3. Once the data has been verified, click the **Import** button. This will import the data into the grid just as though you had manually typed the data and all the required data validation will occur.
4. Click the **Save** button on the grid to save your changes and/or new data.

# Configuring Grids

Below is more information about the Configuring Grids options.

## Save Configuration

To save any settings for a particular grid, perform the following:

1. Right click in the grid and select **Save My Configuration**.
2. Click **Yes** to save the configuration. This configuration will remain until you select** Restore Default Configuration **when it reverts back to the standard configuration.

## Restore Default Configuration 

To revert back to the standard configuration, perform the following:

1. Right-click in the grid and select **Restore Default Configuration**.

## Delete my Configuration

To delete your previously saved configuration, perform the following:

1. Right-click in the grid and select **Delete My Configuration**.

## Restore my Configuration

To restore your previous configuration, perform the following:

1. Right-click in the grid and select **Restore My Configuration**.
