A work order allows you to track products, materials, labour and expenses for a job. You can add items from stock, remove items back to stock, log work hours and record supplier expenses.

## Access an Existing Work Order

You can access a work order through the Work Order Dashboard or through the related sales order.

### Access from Work Order Dashboard

1. Click the **Frameworks Menu** and navigate to **Work Orders > Work Orders**.
2. In the search fields, enter your search criteria or leave blank to see all work orders.
3. Click **Find** to display matching work orders.
4. Click the **Work Order** hyperlink to open the work order.

### Access from Sales Order

1. Click the **Frameworks Menu** and navigate to **Sales > Transaction Processing > Sales Orders**.
2. In the search fields, enter your search criteria and select the appropriate order **Type** (Workshop, Service or Project).
3. Click **Find** to display matching orders.
4. Click the **Order ID** hyperlink to open the workshop, service or project order.
5. Navigate to the **Work Order** tab.
6. Click the **Work Order** hyperlink to open the work order.

## Add Products to Stock In

Adding products to stock in removes the products from store stock on hand and allocates them to the work order.

1. Click **Actions** and select **Stock In** to open the **Product Stock In** window.
2. In the **Product** field, enter the product number or click the **search **icon to open the **Product Finder** window.
3. In the **UOM** field, enter the unit of measure if applicable.
4. In the **Quantity** field, enter the quantity required. For tally products, click the **tally **icon to enter the quantity.
5. Click the **tick **icon to add the product to the **Work Order Lines** grid.
6. To edit a product line, click the **pencil **icon or tally icon for the relevant line.
7. To remove a product line, click the **delete **icon for the relevant line.
8. Click **Save** to add the products to the work order.

### Result

The products display in the **Work Order Details** grid with positive quantities, indicating they have been removed from store stock on hand and allocated to the work order.

## Add Packs to Stock In

Adding packs to stock in removes the packs from store stock on hand and allocates them to the work order.

1. Click **Actions** and select **Stock In Packs** to open the **Products - Stock In Tally Packs** window.
2. In the **Pack Number** field, enter the pack number or click the search icon to open the **Pack Finder** window.
3. Click the **tick** icon to add the pack to the grid.
4. To remove a pack, select the pack and click **Remove Pack**.
5. Click **Save** to add the packs to the work order.

### Result

The packs and their contents display in the **Work Order Details** grid with positive quantities. Tally packs containing multiple lengths are automatically split into separate lines.

## Add Products to Stock Out

Adding products to stock out returns the products from the work order back to store stock on hand.

1. Click **Actions** and select **Stock Out** to open the **Product Stock Out** window.
2. In the **Product** field, enter the product number or click the search icon to open the **Product Finder** window.
3. In the **UOM** field, enter the unit of measure if applicable.
4. In the **Quantity** field, enter the quantity to return. For tally products, click the **tally **icon to enter the quantity.
5. Click the **tick **icon to add the product to the **Work Order Lines** grid.
6. To edit a product line, click the **pencil **icon or tally icon for the relevant line.
7. To remove a product line, click the **delete **icon for the relevant line.
8. Click **Save** to process the stock out.

### Result

The products display in the **Work Order Details** grid with negative quantities, indicating they have been returned to store stock on hand from the work order.

## Add Tally Packs to Stock Out

Adding packs to stock out returns the packs from the work order back to store stock on hand.

1. Click **Actions** and select **Stock Out Packs** to open the **Products - Stock Out Tally Packs** window.
2. In the **Pack Number** field, enter the pack number or click the **search **icon to open the **Pack Finder** window.
3. Click the **tick **icon to add the pack to the grid.
4. To remove a pack or pack item, select the item and click **Remove**.
5. Click **Save** to process the stock out.

### Result

The packs and their contents display in the **Work Order Details** grid with negative quantities. Tally packs containing multiple lengths are automatically split into separate lines.

## Log Labour Time

The log time function records labourer hours on the work order and calculates labour costs based on predefined rates.

> 📝 - Labour rates must be configured in **Labour Setup**.
> 📝 - Users must be set up as labourers in the system.

### Log Time to Work Order

1. Click **Actions** and select **Log Time** to open the **Log Time** window.
2. In the **User** field, enter the labourer code or click the **search **icon to search for the labourer.
3. The **Role** field populates automatically based on the Labour Setup configuration. To change the role, click the **search **icon and select a different role.
4. In the **Start Date** field, enter the date or click the **calendar **icon to select the date.
5. In the **Start** field, enter the start time in 24-hour format.
6. In the **End Time** field, enter the end time in 24-hour format. The **Hours Worked** field calculates automatically.
7. In the **Comment** field, add any relevant notes about the work completed.
8. Click **Save** to log the hours to the work order.

### Result

The labour hours are recorded on the work order and labour costs are calculated based on the labourer's configured rate.

## Enter Work Order Expenses

The expense entry function records costs for resources or services provided by suppliers, such as equipment hire or subcontractor services.

> 📝 - Expense types must be configured in the system.
> 📝 - Suppliers must be set up in Accounts Payable.

### Enter Expense

1. Click **Actions** and select **Expense Entry** to open the **Expense Entry** window.
2. In the **Supplier** field, enter the supplier ID or click the **search **icon to search for the supplier.
3. In the **Description** field, enter a description of the expense.
4. From the **Expense Type** drop-down menu, select the appropriate expense type.
5. In the **Cost** field, enter the cost amount. The **Sell** field populates automatically based on the expense type markup. You can modify the sell amount if required.
6. In the **Date** field, enter the completion date or click the **calendar **icon to select the date.
7. When the expense task is complete, enable the **Completed** checkbox.
8. Click **Save** to add the expense to the work order.

### Result

The expense is recorded on the work order and will be included in the work order costing.

## Edit Work Order Header

You can modify the work order description and assignee through the header editing function.

1. Click **Actions** and select **Edit Header** to open the **Edit Header** window.
2. In the **Description** field, update the work order description as required.
3. In the **Assignee** field, enter a user ID or click the **search **icon to select a different user to assign the work order to.
4. Click **Save** to update the work order header.

> ⚠️ **Important:** The **Branch** field can only be changed if the work order has no lines added and the work order is not linked to a sales order.

### Result

The work order header information is updated with your changes.

## Delete a Work Order

You can permanently remove a work order from the system if it meets the deletion criteria.

> 📝 
> 📝 - The work order must have no lines added.
> 📝 - The work order must not be linked to a sales order.

### Delete Work Order

1. Click **Actions** and select **Delete**.
2. A confirmation window displays asking you to confirm the deletion.
3. Click **Yes** to confirm you want to delete the work order.

### Result

The work order is permanently removed from the system and can no longer be accessed.
