# Overview

Within the **Purchase Sales Information** window, you are able to view detailed information about a selected product including:

- The stock level and sales quantities per branch.
- Product information and product attributes.
- The purchase orders, customer orders, quotes, invoices and stock receipts the product is a part of.

# How to View Purchase Sales Information

To view purchase sales information, complete the following:

## Opening a Sales Order or Quote

To open a sales order or quote, complete the following:

1. Click **Frameworks** and navigate to **Sales** > **Transaction Processing** > **Sales Orders** from the navigation tree.
2. Open an existing or create a new sales order or quote.

## Opening the Purchase Sales Information Window

To open the **Purchase Sales Information** window, complete the following:

1. Within the **Sales Order Maintenance** screen, in the product entry section, enter your desired product ID or use the search icon to search for your product.
2. Once the product details have loaded, click the information icon to open the **Purchase Sales Information** window.
3. If your desired product has already been added to the order or quote, clicking the **Product No**. hyperlink will also open the **Purchase Sales Information** window.

# Navigating the Purchase Sales Information Window

The **Purchase Sales Information** window has various tabs detailing product availability and orders and quotes the product is apart of. These are:

## 1. The Details Tab

The **Details** tab is made up of 3 main sections:

1. **The Product Information Section**
2. **The Purchase Orders Section**
3. **The Stock Levels and Sales Quantities Section**

### 1. The Product Information Section

Displays basic product information for the selected product and branch.

The information shown includes:

- **Product: **Displays the product code and product name for the selected product.
- **Branch: **Displays the branch number and branch name. This field shows the most recently selected branch from the **Stock Levels By Branch** section.
- **Std Cost: **Displays the standard cost for the product at the displayed branch.

### 2. The Purchase Orders Section

Displays open purchase orders containing the selected product. This section helps you track expected stock arrivals and supplier commitments.

Each purchase order line displays:

- **Order Number: **Displays the purchase order number. Click the hyperlink to open the purchase order in the **Purchase Orders** screen.
- **Supplier: **Displays the supplier name for the purchase order.
- **Stocking Qty: **Displays the quantity of the product being stocked (received into inventory) from this purchase order. This quantity will increase stock on hand when receipted.
  - Positive values indicate stock being added to inventory.
  - Negative values may appear for returns or adjustments.
- **Due Date: **Displays the expected delivery date for the purchase order line.
  - Orders are sorted by due date to help prioritise expected receipts.
- **BO: **Displays whether the purchase order line is on backorder from the supplier.
  - A tick indicates the supplier has confirmed the product is on backorder and the due date may be delayed. This information helps manage customer expectations when stock is delayed.

### 3. The Stock Levels and Sales Quantities Section

This section is divided into 4 sub-sections that provide comprehensive stock and sales information

**a. Additional Branch Product Information**

Displays “at-a-glance” branch product information related to **re-ordering stock **and **Branch Stock Availability.**

**Stock Re-ordering Details**

- **Lead Time: **Displays the lead time in days required to obtain the product from the preferred supplier. This value is set in the **Product Maintenance** screen, under **Product Branch Stock**
- **Minimum Stock: **Displays the minimum stock level for the product at the branch. This value is set in the **Product Maintenance** screen, under **Product Branch Stock**
  - When the **Stock Available** falls below this level, the product may be flagged for reordering depending on your stock reordering configuration.
- **Maximum Stock: **Displays the maximum stock level for the product at the branch. This value is set in the **Product Maintenance** screen, under **Product Branch Stock**
  - This value is used in stock reordering calculations to determine optimal order quantities.
- **Pack Quantity: **Displays the **Inner Pack Quantity **for the product. This field indicates the quantity of the suppliers purchasing UOM required to make up a pack (Box).
- **Supp Min Order Quantity: **Displays the minimum order quantity required by the preferred supplier for this product. This value is set in the **Product Maintenance** screen, under **Product Suppliers**.

**Branch Stock Availability**

> ℹ️ The ( **+ - =** ) symbols beside each heading represents what effect it has in the calculation for both unallocated stock and available stock.

- **Stock On Hand (Branch): **Displays the current physical stock quantity for the product at the selected branch only.
- **+ Stock On Consignment: **Displays the quantity of the product currently held on consignment at the selected branch. Consignment stock is owned by the supplier until sold or used.
- **- Customer Orders: **Displays the total quantity of the product allocated to customer orders at the selected branch. This includes all confirmed sales orders that have not yet been fully picked or despatched.
- **- Deferred Sales: **Displays the quantity of the product allocated to deferred sales at the selected branch. Deferred sales are sales that have been processed but not yet finalised. **Interim Invoices** are displayed as deferred sales.
- **Picked Qty: **Displays the quantity of the product that has been picked for customer orders but not yet despatched at the selected branch.
- **Avail To Pick: **Displays the quantity available to be picked for customer orders at the selected branch. This is calculated as: **Stock On Hand + Stock On Consignment - Customer Orders - Deferred Sales - Picked Qty**
- **+ Purchase Orders: **Displays the total quantity of the product on open purchase orders for the selected branch. This represents stock expected to arrive.
- **= Stock Available: **Displays the total stock available for the product at the selected branch, including expected receipts. This is calculated as: **Stock On Hand (Branch) + Stock On Consignment - Customer Orders** **- Deferred Sales** **+ Purchase Orders**
- **Stock On Hand (All Brn): **Displays the total current physical stock quantity for the product across all branches in the system.
  - This provides visibility of company-wide stock levels to assist with internal transfers or sourcing decisions.

**b. Stock Levels By Branch**

Displays detailed stock information for each branch in the system. Click the **Brn** hyperlink to view information for a specific branch, which will update the Product Information Section above.

Each branch row displays:

- **Brn**: The branch number. Click to select and view detailed information in the Product Information Section.
- **Name**: The branch name.
- **Available**: The quantity available to pick at this branch (Stock On Hand + Consignment - Allocated).
- **Stock on Hand**: The current physical stock quantity at this branch.
- **Excess stock**: The quantity above the maximum stock level for this branch. A value greater than **0** indicates overstocking.
- **Prod. Type**: Displays whether the product is classified as stocked or non-stocked at each branch. **Stocked** indicates the product is a stocked item at that branch. **NOT Stocked** indicates the product is treated as a non-stocked item at that branch — meaning it would need to be ordered in for the customer. This helps you identify which branches regularly carry the product and which branches would need to source it.
- An edit icon appears for branches where you can modify stock parameters.

**c. Sales Quantity**

Displays monthly sales quantities for the selected branch (**Branch 10** in the example) across multiple years. This helps identify sales trends and seasonality.

- **Branch 10**: Displays the branch number being reported on. This matches the branch selected in the **Stock Levels By Branch** section.
- **January - December**: Displays the quantity sold in each month for the years shown.
- **Year 2025, Year 2024, Year 2023**: Displays sales quantities for up to three years, allowing year-over-year comparison.
- **Total**: Displays the total quantity sold across all months for each year.
- **Average**: Displays the average monthly sales quantity for each year.

This information supports:

- Identifying peak sales periods for stock planning.
- Calculating stock turn rates.
- Supporting minimum/maximum stock level decisions.
- Forecasting future demand based on historical patterns.

**d. Stock by Length**

Displays stock quantities organised by length for timber products. This section is only populated for products where length tracking is enabled.

- **Qty**: The number of pieces at this length.
- **Length**: The length of the pieces (in the configured unit of measure).
- **Total**: The total quantity represented by this length group.
- **Notes**: Any notes associated with specific length groups.

This information is particularly relevant for:

- Timber and building materials where length is a critical dimension.
- Products sold by length where specific sizes are requested by customers.
- Inventory planning where length distribution affects usability and waste.

## 2. The Descriptive Tab

The **Descriptive** tab contains more detailed product information, including:

- The **Main image**, as applied in **Product Maintenance** under the **General Information **section.
- The **Product Information**, which is editable via **Product Maintenance** under the **Key Details **section.
- A list of **Product Attributes**, including the attributes **Category, Name **and **Value**

## 3. The Notes Tab

Listed here are the product's notes. 

- Click **New Note **to create a new note.

> ℹ️ Notes can also be added via the **Product Information **section in the **Product Dashboard**

## 4. The Purchase Orders Tab

Listed here are the open purchase orders the selected product is a part of listed in order based on their order number.

## 5. The Stock Receipts Tab
