# Take Control of Your Email Delivery

[Cloud Environments ONLY] 

Introducing new features that help you to streamline email bounce tracking and support proactive email list maintenance. Bounced emails can now be extracted into a log and interrogated as you desire to improve email delivery. 

The log gives details on which emails have failed and why your emails have failed to send so you can make the changes needed to ensure smooth email delivery and that your customers get the information they need. Also added is a purge task that will remove old records and keep your log current and manageable.

# The Bounced Email Extract

This scheduled task will extract bounced emails from the AWS Server. It is recommended to be scheduled to run every day as a minimum. To run this task, complete the following:

1. Click the **Frameworks Menu **icon** **and navigate to **System Administration** > **Task Scheduler** > **Schedulable Tasks** > **Bounced Email Extract** from the navigation tree.
2. Go to the **Schedule** tab to schedule the task as required and then click **Submit **to run the task.

> ℹ️ This scheduled task doesn't have any user defined parameters on the criteria tab.

# The Bounced Emails Log

The **Bounced Emails Log** screen allows you to track and manage emails that couldn't be delivered to their recipients. You can review failed email deliveries, identify which emails didn't reach customers, and take action to fix email addresses or other delivery issues.

## Accessing Bounced Emails Log

To access the **Bounced Emails Log** screen, perform the following:

1. Click **Frameworks Home **icon and navigate to **System Administration **> **Auditing **>** Bounced Emails Log** from the navigation tree.

## Navigating Bounced Emails Log Screen

The Bounced Emails Log screen is made up of 2 main sections:

1. **The Search Options**
2. **The Results Grid**

### 1. The Search Options

The Search Options section allows you to search for specific bounced emails by date range and email type to help identify delivery problems. 

The available search criteria are: 

- **Date From: **Allows you to set the starting date for your search. Enter the date manually or click the calendar icon to select a date from the date picker.
- **Date To: **Allows you to set the ending date for your search. Enter the date manually or click the calendar icon to select a date from the date picker.
- **Notification Type: **Select the type of email delivery issue to filter your results. The dropdown menu provides three options to help you focus on specific problems. The available options are:
  - **All**: Shows all email delivery issues (selected by default).
  - **Bounce**: Shows emails that couldn't be delivered due to invalid addresses or delivery problems.
  - **Complaint**: Shows emails where recipients marked your communication as spam or unwanted.

Click **Find** to search for bounced emails matching your criteria and display the results below.

### 2. The Results Grid

The Results Grid shows you emails that failed to be delivered, giving you the details you need to understand what went wrong and fix the problem.

> ⚠️ For results to be displayed, the **Bounced Email Extract** task must be scheduled or run.

Additional available columns, hidden by default, include **Notification Type**, **Type**, **Sub Type**, and **File Name**.

> ✅ **Tip:** To view the hidden columns right-click the grid header, choose *Columns*, and select the additional fields to display more information about bounced emails.

**Date**

Displays when the email failed to be delivered.

**Email Address**

Displays the email address that caused the delivery failure. This is the address that needs to be corrected or updated.

**Reason**

Displays why the email couldn't be delivered. This explains what went wrong with the email delivery and helps you understand whether the problem is permanent or temporary

- Shows the specific reason for the delivery failure
- Common reasons include incorrect email addresses or full mailboxes

---

**Subject**

Displays the subject line of the email that couldn't be delivered. This shows what communication your customer didn't receive and helps you identify which invoices, statements, or other communications failed.

**From**

Displays the email address the email was sent from. 

---

**Reply To**

Displays where customer replies would be sent. This shows which team member's email address customers would reply to.

---

**To**

Displays the main recipient of the email. This typically shows the same address as the **Email Address** field.

---

**Cc**

Displays any additional recipients who were copied on the email.

---

**Bcc**

Displays any hidden recipients who were copied on the email. 

---

**Notification Type**

Displays the specific type of email notification that failed. 

- **Bounce**: For emails that couldn't be delivered.
- **Complaint**: For emails marked as spam by recipients.

**Type**

Displays the category of delivery failure. This provides more detail about why the email failed.

- **Permanent:** For bounce issues that won't resolve automatically.
- **Complaint:** For emails reported as unwanted by recipients.

---

**Sub Type**

Displays additional detail about the type of delivery failure. This provides specific information about bounce categories.

- **General**: For standard bounce issues.
- Field may be empty for complaint-type failures.

**File Name**

Displays the name of the source file containing the bounce information. This shows the original data file that recorded the delivery failure.

# The Bounced Emails Purge

The **Purge Bounced Emails** task will purge all records in the bounced email table older than the **Days to retain** specified.

1. Click the **Frameworks Menu** icon and navigate to **System Administration** > **File Purges** > **Purge Bounced Emails** from the navigation tree.
2. In the **Days to retain* **field enter the number of days you're required to keep (defaults to 30 days).
3. Go to the **Schedule** tab to schedule the task as required and then click **Submit **to run the task.
